energy, boundaries, planning, reflection and resilience. Time itself cannot be managed, it is fixed. What you can manage is yourself within the time you have. That is why the problem is almost never in the method. It is in fear, identity and self-worth, which determine why you say yes and why you can’t say no.

IN THIS GUIDE

Time management is never about time

Burnout comes from mental load, not from the amount of work

Saying no, first of all to yourself

Hot Spot: letting the environment work for you

Boundaries and balance: the responsibility is yours

Planning and reflection that last

Personal resilience in a crisis

How this connects to the Identity-Aligned Leadership Cycle

Frequently asked questions

Time management is never about time

Everyone knows the big rocks, the Eisenhower matrix, time boxing and Pomodoro. The knowledge exists, it is accessible and free, and still managers and employees collapse under the load. It happens because the ability to manage time is an inner capability. The lack of tools is the story we tell ourselves to avoid facing the blocker. I say this about myself too: I was always a champion of planning, tables, colors and apps, and it didn’t work.

There was a week I finished breathless and exhausted, feeling I had been inefficient and that the pile of tasks had only grown. The guilt came fast, because the cobbler’s children go barefoot: I teach managers how to manage their schedules. What I learned from it is that most of us are sure we are procrastinators or lack motivation, when in practice we just haven’t trained a method that suits us.

Two themes that run most people’s time

The illusion of control. The belief that if I plan correctly I will get everything done. The root is difficulty setting boundaries with others, and above all with myself, and the effect is constant guilt. The way through: choose one task, decide not to do it this week and practice letting go. Letting go is a critical muscle.

My work is my identity. Time becomes a reflection of self-worth, and the inner belief is that I am measured by how much I work.

Two more myths worth releasing: that every minute of the workday must be filled with tasks, and that time management means doing more. The brain drains through the day like a battery, and scheduled breaks actually increase productivity. Time management is doing the right things the right way.

To go deeper, in my LinkedIn posts:

Time Management Is Never About Time

Five Myths About Time Management

Burnout comes from mental load, not from the amount of work

My claim is that burnout comes from mental and emotional load, not from the amount of work. A senior manager once answered my question about what he does to recharge: “I used to be a bookworm, now I only read emails.” His complaint was not about the emails themselves. It was that every channel technology allows increases the load: he enters a task, lifts his head and is flooded with unanswered calls, WhatsApp, Slack and project management systems. Remote work, different time zones and flexible hours only intensify the blurring of boundaries.

The data. According to Microsoft’s Work Trend Index from June 2025, employees are interrupted on average every two minutes during core working hours, 275 times a day, by meetings, emails and messages. In such a state, the question is not how many hours you worked but how many times your brain had to start over.

AI added a new layer. In March 2026 Harvard Business Review published a study that names it: AI Brain Fry, mental fatigue from using and supervising AI tools beyond cognitive capacity. Fog, buzzing in the head, slow decisions. The decision to open another agent often comes from a fear of being left behind.

The tools

Manage energy as a renewable resource: it requires recovery, disconnection and flow time.

Limit your work environment to three agents or parallel tasks at most.

Return to analog capture of ideas: a note or a notebook instead of another open window.

Stop at the end of each day and check which tools actually served you.

Find the sweet spot for meetings: not too many that hold back productivity, and not too few that leave the team without tools. The body recovers with rest. The mind doesn’t rest for a moment. She didn’t stop because of an inner voice that convinced her everyone else keeps up and only she doesn’t, and that if she says no they will understand she isn’t good enough. Before learning to say no to others, we have to learn to say no to ourselves: to old patterns and the habit of pushing more and more.

There are two truths that are hard to internalize. The number of tasks on your desk will never end, because other people keep working and producing. And no one in the world manages to do everything. Whoever seems to simply knows how to focus. The conclusion is that there is no choice: you must pick what you do and what you don’t.

Five ways to say no without wrecking relationships

No, but yes: not now, but we can come back to it in a week.

Referring onward: this is less in my field, it’s worth turning to someone who is looking for a project like this right now.

Reflecting the load: I’m working on three important projects, what would you recommend postponing?

Limiting time in advance: I have a two-hour window on Thursday morning.

A plain no: I can’t take this on right now. You don’t always need an excuse.

Two more tools for protecting your time: test every request against the question of whether it is really important for the organization, and start the day with the most complex task, while the battery is still charged. When your office turns into a promenade and everyone walks in with something urgent, you move from managing to reacting without noticing.

To go deeper, in my LinkedIn posts:

Five Ways to Say No

How to Protect Ourselves From Wasting Our Own Time

When Your Office Turns Into a Promenade

Hot Spot: letting the environment work for you

I too have a task I always find reasons to postpone. I am not only a coach of managers, I am also a business owner, responsible for marketing, business development and proposals. That didn’t scare me, I was a VP of business development and sales. The task that trips me again and again is activating my network and asking for help. The solution I found is a Hot Spot.

The brain works by associations, not intentions. If it links the couch with rest, the expectation of writing a presentation on the couch will probably not be met. A Hot Spot is a specific physical place where you perform a defined task, a space the brain associates with the task. Since I have had one, the task I ran from most gets done more and more.

Three steps to create a Hot Spot

A clear context. Choose a place that signals to body and head that this is where tasks begin.

A fixed routine. The same place, the same hour, the same task, so the brain learns what to expect and lowers resistance.

Fixed stimuli. The same cup of coffee, the same playlist, the same lighting. A sensory routine builds a neural path.

This is also what is missing from the home versus office debate. Success does not depend on the place, but on the employee’s ability to do the work. Honestly examine where you work well and which type of task each environment suits. I, for example, need an outside space for tasks that require the energy around me.

To go deeper, in my LinkedIn posts:

What Is a Hot Spot

The Task I Get Stuck On Too

Home or Office, Before You Fall In Line With the Feed

Boundaries and balance: the responsibility is yours

Two different clients sent me a news item about work-life balance, both with the same message: “you see, it’s not us, it’s life.” I disagree. The only one responsible for balance is you. It is not your manager’s responsibility to say no to things that land on your desk, nor the organization’s to make sure you leave on time. As Jocko Willink teaches, leaders take full responsibility for everything in their world. Only action, building a schedule and setting boundaries creates balance.

The explanations I hear are familiar: “in my role it’s different,” “it’s a busy period” (for ten years already), “just let me clear my desk and everything will calm down.” In the end everything starts and ends with a decision about priorities: what you do and what you don’t, where the boundaries are, and whether you stick to the plan.

Keep a list of your successes. It helps you dictate a boundary and hold it with less guilt.

Surround yourself with people who are also looking for their balance.

Don’t stay alone. It fails because of a lack of a mechanism. We plan the what, the goals, well, and skip the who, the managerial identity. That is why I recommend starting with reflection on the past year and only then planning.

Three steps for annual planning

Reflection. What did I learn this year about myself as a person and a professional?

An inner compass. Which values will guide me?

Goals. The three most meaningful goals for the coming year. An endless list of goals that serves no single overarching purpose is a problem, not a solution.

Then reality arrives. No plan survives contact with the enemy, and reality can certainly serve as the enemy. The solution: set dates in the calendar in advance for assessing progress and adjusting the plan, and remember it is fine for plans to change. The list is a living document.

The reflection stage itself has questions that turn a mistake into a learning opportunity. Instead of “why did this happen to me,” ask: what can be learned from the mistake, who was the teacher in this process, and what is the insight. Reflection without insight is not complete. And you can plan a career too: test any plan on three measures, how much you love it, how confident you are in your ability to carry it out, and how well it fits how you see yourself.

To go deeper, in my LinkedIn posts:

A Year-End Review and New Year Workbook

A Free Guide for Planning 2025

No Plan Survives Contact With the Enemy

Four Questions for Reflection

Planning a Career the Way You Manage a Project

Personal resilience in a crisis

Real crisis management starts with pausing the automatic reaction. There was a Sunday when my schedule fell apart: four meetings were canceled, two because of reserve call-ups (Order 8), one because the kids stayed home, and the fourth ended after ten minutes when everyone went into their shelter. The guiding question in such a situation is not what happens to the goals, but what is actually within my control.

And a manager is also a human being. I had a Zoom with a client I coach through a deep process, and he talked, analyzed and got angry. I listened, but in practice I wasn’t there. The noise of the house crept through the door, and the thought of when the missiles would come today would not let go. It is allowed to feel what you feel.

Dr. Anabela Shaked explains that nobody has resilience for an event that cannot be prepared for. We all crash, and then start building resilience again through action. And it is not only contribution and volunteering that strengthen it, but also the routine tasks that feel banal. Resilience is like a muscle: it develops with awareness and investment, and the road is long.

To go deeper, in my LinkedIn posts:

Leading in Uncertainty

The Meeting Where I Wasn’t Really There

So How the Hell Do You Work in a Period Like This

When Everyone Around Me Is Talking About the Same Burnout

How this connects to the Identity-Aligned Leadership Cycle

In the Identity-Aligned Leadership Cycle I work with, this stage rests mainly on the behavior step: communication, decisions, boundaries and presence. el_class=”rfkg-article”] IN SHORT Self-management is how a manager manages their own resources: time, workload, energy, boundaries, planning, reflection and resilience. Time itself cannot be managed, it is fixed. What you can manage is yourself within the time you have. That is why the problem is almost never in the method. It is in fear, identity and self-worth, which determine why you say yes and why you can’t say no. IN THIS GUIDE Time management is never about time Burnout comes from mental load, not from the amount of work Saying no, first of all to yourself Hot Spot: letting the environment work for you Boundaries and balance: the responsibility is yours Planning and reflection that last Personal resilience in a crisis How this connects to the Identity-Aligned Leadership Cycle Frequently asked questions Time management is never about time Everyone knows the big rocks, the Eisenhower matrix, time boxing and Pomodoro. Two themes that run most people’s time The illusion of control. To go deeper, in my LinkedIn posts: Time Management Is Never About Time Five Myths About Time Management Burnout comes from mental load, not from the amount of work My claim is that burnout comes from mental and emotional load, not from the amount of work. The tools Manage energy as a renewable resource: it requires recovery, disconnection and flow time. That is the manager’s responsibility, not that of an AI tool that summarizes meetings.
